Every gym owner in the valley knows the pattern: packed floors from April to October, then attendance drops as the cold sets in — and through Chillai Kalan many members simply stop coming and stop renewing. Here’s how to keep your gym members renewing through the Kashmir winter, and protect your revenue until spring.
When is the Kashmir winter hardest for gyms?
The hardest stretch is Chillai Kalan, the 40 days of harshest cold from 21 December to 29 January, when snow and short, freezing days keep people at home. For a gym, the damage shows up in renewals: memberships that end in December and January are the ones most likely to lapse.
Those are the dates given in ETV Bharat’s report on the start of Chillai Kalan. February is still cold, so plan through to March, not just to the end of January.
Why do gym members stop renewing in winter?
Mostly because the renewal date arrives at the worst possible moment: a member whose monthly plan ends in mid-January has to decide, in the cold, to come back and pay. Travel, exams, power cuts and snow days add to it, and once a member misses two weeks, the habit is gone.
The fix is to move the decision. Get members to commit in October, while they’re still coming in every day, and make every winter renewal possible without a trip to the gym.
Plan for winter in October
The renewals you lose in January are decided in October and November. Before the cold:
- List everyone whose plan ends between November and February. Sort members by expiry date and write the list down. Then keep SetGo’s dues screen open every morning: it shows who is overdue, due today and due in the next 7 days, with the amount for each.
- Remind them early — before their plan ends, while they are still coming in regularly.
- Talk to them at the desk. A two-minute chat in October (“Your plan ends in December — want to lock in winter now?”) beats any message in January.
An example: if 40 members’ plans end between December and February and 20 of them move to a quarterly plan in October, those 20 renewals are done before the first snow.
Sell longer plans before the cold
A member on a monthly plan has to decide to renew in the middle of winter. A member on a quarterly or half-yearly plan bought in October doesn’t.
- Run a winter offer on quarterly and half-yearly plans — for example 15–20% off, labelled “Winter offer”
- Waive or include the admission fee for new members who join on a longer plan
- In SetGo you add a percentage discount to a plan in seconds and take it off in one click when the offer ends — see gym membership plans and offers
Here’s what a 15% winter offer looks like on a typical ladder, for a member who buys on 1 November:
| Plan | Normal price | Winter offer (15% off) | Covers |
|---|---|---|---|
| Quarterly | ₹2,800 | ₹2,380 | November to January |
| Half-yearly | ₹5,000 | ₹4,250 | November to April |
Check the offer against your costs before you announce it — our guide on how to set gym membership prices shows how to work out break-even.
Let members freeze instead of quit
Some members travel or go through exams in winter. Offering a freeze keeps them as members instead of losing them. Freeze their plan and resume it when they’re back — they keep the days they paid for.
Set a simple rule and stick to it, for example: freezes of at least two weeks, once a year, with the dates agreed at the desk. Otherwise a freeze turns into a discount by another name. In SetGo, a frozen member can’t check in until the plan is resumed, so the rule enforces itself.
Tell members about timings — once
Snow days, power cuts, shorter winter hours, Ramadan timings: post them once as an announcement and every member with the SetGo app sees it under Gym updates. Give it start and end dates, and old notices disappear on their own. It saves dozens of calls and keeps members coming in when you’re open.
Don’t let bad internet stop check-ins
Connectivity in Kashmir isn’t always reliable. With SetGo’s QR attendance, when the internet drops the member’s scan is queued on their phone and synced once the connection is back — within six hours — so attendance isn’t lost.
The front-desk screen shows a QR code that changes every 30 seconds, so a screenshot shared on a group won’t work later. And expired or frozen members can’t check in, which turns the door into a gentle renewal reminder.
Make renewing easy from home
In January, nobody wants to walk to the gym just to pay. Let members renew from their phone with UPI, and they will.
SetGo’s member app, launching on the App Store and Google Play soon, lets members renew in one slide through Cashfree with GPay, PhonePe, Paytm or any UPI ID. Until then, take UPI to the gym’s account, record it at the desk the same day, and share the receipt. For the day-to-day reminder routine, see how to collect gym fees on time.
Win back members who lapsed
Some members will stop over winter whatever you do. Don’t write them off — March is your second chance.
- Make a list in February of everyone whose plan ended between December and February and who didn’t renew.
- Send one friendly message when the weather turns: “We’re back to full timings — come back this month and we’ll skip the admission fee.”
- Don’t charge returning members admission again. They already know the gym.
A winter checklist
| When | Action |
|---|---|
| October | List winter expiries; launch a winter offer on longer plans |
| November | Remind everyone expiring before February |
| December | Post winter timings; offer freezes to travelling members |
| January–February | Weekly dues check; reminders a few days before expiry |
| March | Spring re-joining offer for members who lapsed |
